Google Android Microsoft Outlook
Outlook 2007 can manage all your accounts of e-mail to you, giving you a place to work with all of your messages. But to do that, you need to learn a little about how to configure it and how to determine which of any given message will be entered into or sent out. The rest of this article explains how.
When you receive
Let's start by talking about how Outlook receives messages from different accounts. Outlook will automatically check each your e-mail (the settings on your Send / Receive groups to determine when). Messages from most types of accounts e-mail end up in the mailbox, and messages of HTTP mail accounts such as Hotmail, end up in his own collection of mail folders.
So how do you know the messages that are associated with the accounts? Hotmail messages automatically end up in your own set of folders. For other types of accounts, if you can not tell just by looking, you can look at the To: field of the message. The email address of the sender is directed to appear in that line.
Sometimes, however, you will see an alias to instead of real email address in the To: field. If it is not clear which account a message was sent, you can follow these steps to say with certainty:
- Right-click the name in the To: field of the message.
- On the shortcut menu that appears, click Properties Outlook.
- In the dialog box, go to E-mail Addresses tabbed page. This will tell you that address the message was sent.
When You Send Messages
When sending messages, you are in control of the account that Outlook uses. Outlook always has a default account for sending messages (usually the first account set up) but it is easy to tell Outlook to use a different account. Here's how it works:
- When you create a new message, the Outlook assumes that you will want to use the default account to send it unless you tell me what to do something different.
- When you are replying to a received message, Outlook standard to respond using the same account the original message came on. That is, if you receive a message sent to your account named xyz in mymailserver.com, and you clicked on Reply or Reply All, Outlook defaults to xyz regard mymailserver.com. Sure, you can always tell Outlook to send the response using an account else.
- When you forward a message, Outlook requires the same way that you want to reply using the same account that the original message.
The way Outlook selects the account to use makes good sense, but if you do not want to use the Outlook account that you want? What exactly do you have to say Outlook which account you want to use?
You can tell Outlook to e-mail to use when the window is open. When you have multiple accounts set up, you will see an Account button below the Send button. Click the Account button and Outlook will display a menu with all your accounts email. Select one, and one that uses Outlook to send your message.
How to specify the default account
Sometimes you may decide that you want Outlook to use an e-mail other than default. If you do, these are the steps you follow to change it:
- Main menu Outlook, click Tools> Account Settings. This opens the Account Settings dialog.
- Online E-mail tabbed page dialog box in Account Settings, you should find a box listing all of your accounts email. Click the account you want to make your account the new standard.
- Once you selected the default account again, look up the account list, locate and click Set as Default. Outlook obscures this option to you select a new account to default.
- The new standard option move to the top of the list.
- Click Close to change take effect.
With this information, you can now manage multiple accounts of their e-mail.
Learning how to work with multiple email accounts is just one of the things covered in Lesson 2 of the 6-week online course, Introduction to Outlook 2007.
